Lead Project Manager

 
 

Overview

The Lead Project Manager is key to the delivery of key projects and programmes at the agency. Process-driven and highly analytical, you are the guardian of quality, scope and profitability for your projects and programmes.  You will manage multiple discrete projects or projects within a programme of work from initial client briefing to final delivery, ensuring they are delivered to the requirement on time and budget. Supporting all departments, from strategy to creative and design to technical, that comprise your team, you know your projects inside out and, working in close partnership with account management, drive the production of first-class creative solutions to client digital communications, marketing, branding and innovation briefs, whilst delivering against financial targets to ensure profitable delivery under your remit. 

You will also help manage a team of mid weight and junior project managers alongside the Head of Delivery, deputising where need be.  You will be expecting to be ready to lead the department within the next two to three years and a route towards this will be agreed with you.  

Responsibilities

Project Planning

  • Identify key phases of delivery of projects from client brief to deployment which meet client requirements.

  • Extremely comfortable producing robust project plans using Project Wizards Merlin for each phase, identifying resource requirements, project tasks for agency and client, key dependencies, critical paths and risks.

  • Help to introduce and embed rigorous financial planning documents with the Head of Delivery, including the usage of project workbooks.

  • Liaise with creative, strategic, design and production leads to agree on approach and associated deliverables to meet the aims of each phase and client requirements.

  • Demonstrate an understanding of good UI and customer journeys.

  • Draft meticulous Statements of Work (SoWs) for jobs > £100k, Task Orders (TO’s) for jobs < £100k, and Change Requests (CR’s which communicate clearly to the internal stakeholders and client the proposed deliverables, costs, delivery schedule, assumptions, dependencies, project exclusions and where appropriate risks to delivery.

  • Set up appropriate RAID and RACI documents prior to the project beginning and keep them updated as the project proceeds.

  • Draft clear and concise design, copy, IA, technical and QA briefs for timely approval by department heads. Ensuring work is delivered to scope, budget, quality and timing schedules documented in SoWs, TO’s and/or CR’s.

  • Be comfortable working within a pitch team for rapid turnaround of deliverables and costings.

Project Delivery 

  • Be the guardian of scope, quality, scheduling and profitability on projects.

  • Effectively deliver multiple projects across single or multiple clients, partnering and coordinating multiple stakeholders and internal resource without compromising delivery.

  • Throughout delivery, continually liaise with traffic managers and department heads to ensure appropriate resources are booked and released when appropriate without risk to quality or timely delivery.

  • Manage individual projects up to a value of £250,000 from client brief to deployment (To Scope, On Time, To Budget).

  • Manage large programmes of work, in excess of £1m, of interlinked projects and work with other project managers within that larger programme of work.

Advocate of Process

  • Understand fully, and be an advocate of the documented delivery process and the following phases: Strategy, Creative, IA, Design and Copy, Technical Build and QA. Effectively analyse the requirements of each project, ensuring a consistent approach across clients and deliverables. 

  • Understand fully, and be an advocate of the outlined job set up process, recognising the need for quoting/pitch job numbers or phases and their use in reporting project profitability.

  • Manage the team as needed to follow the process.

  • Help analyse and update process as needed for efficiency across the business.

Financial and Administration 

  • Produce weekly reconciliations for each live project, submitting status reports to Head of Delivery.

  • Be responsible for your numbers, including appropriate resourcing and negotiations with external suppliers.

  • Sound job number administration: opening and conversion of non-billable job numbers, timely closing of billable jobs. Working with finance to invoice jobs in a timely manner against a redefined billing plan. 

Technology and Creativity

  • Good understanding of the Web and relevant technologies and languages (including but not limited to HTML, XML, CSS, Javascript, Ajax, CMS, CRM, eCommerce).

  • Support the admin configuration of various digital applications.

  • Contribute to the assessment of client website/application User interfaces & Customer Journeys. 

  • Investigation and analysis of client Google Analytics reports. 

  • Helping with content, data uploads, coordinating launches.

  • Training clients to use appropriate CMS platforms.

  • Good knowledge of, and be excited by all existing and emerging digital channels.

Requirements

  • Demonstrable understanding of good UI, Customer journeys, and Web Design.

  • Experience using Google productivity suite, Adobe CS Suite and/or Sketch, MS Project / Merlin / Omniplan or other project management planning tools.

  • Experience and understanding of development collaborative tools such as JIRA and Confluence.

  • Ability to interpret a variety of instructions in written, oral and diagram form.

  • Exceptional organisational skills and strong attention to detail. Consistent delivery of successful projects on time and on budget led by effective scoping and deep understanding of assigned projects.

  • Consistent levels of high client satisfaction.

  • Strong and developed internal relationships.

  • Strong and valued member of the team.

  • Excellent handle of agency process and financial details and the ability to help plan new process.

  • Illustration of developing and applying industry and sector knowledge effectively.

  • Alongside Account team, developing client plans to deliver increased revenue.
